How do Priorities work?

Most workflows include the Priority media. The Priority media allows you to set the level of urgency on a job. This affects how the job is displayed in the grid, and in counts of jobs on the application bar.

Whilst similar, there are a couple of differences between the way Priority works in Lexacom as compared to Lexacom 3.

 

What is a Priority level?

Priority media allows users to select a Priority level when they create a job. Your team will have a number of Priority levels, which might look like this:

Each Priority level has a:

  • Name – the name assigned to the priority
  • Colour – this colour is displayed in your grids
  • Warning Period – this is the period after which Lexacom will flag the job as nearing overdue – e.g. 12 hours
  • Deadline Period – this is the period after which Lexacom will flag the job as overdue – e.g. 24 hours

 

How are Warning & Deadline periods calculated?

The Warning and Deadline periods are calculated from when the job is passed from the first workflow step to a later workflow step – when this is actually progressed from the initial Create step by the author.

Until the author progresses the job they may keep the job at the first workflow step for as long as they need; the time at this step will not count towards the Warning or Deadline periods.

A job’s Warning time will be the time that the job is sent, plus the Warning period from its priority.

A job’s Deadline will be the time that the job is sent, plus the Deadline period from its priority.

e.g. If the Low priority has a Deadline period of 24 hours, and a job is given the Low priority and progressed at 14:12 03/07/2025, the Deadline for this job will be 14:12 04/07/2025.

 

How does Lexacom display Priorities on the grid?

Both a job’s Priority, and its deadline (visible as Priority Date) may appear in your grid. You can customise which columns appear and in what order.

The Priority column will show the job’s Priority level, with the colour assigned to this.

The Priority Date column will show the job’s Deadline time. This is calculated from the time the job is first progressed from the first to a later workflow step.

If a job has not yet been progressed from the first workflow step, it will not have a Priority Date.

Custom workflows might not include Priority media. Jobs on workflows without Priority will have neither Priority nor Priority date at any workflow step.

 

How do I order my grid by Priority?

To order your grid by Priority, ensure that the Priority column is visible on your grid, and click on the Priority column heading.

This will sort your grid on Priority in alphabetical order. If you click on the Priority column again, this will reverse the order of the sort.

To order your grid by Priority date, ensure that the Priority date column is visible, and click on the Priority date column heading.

This will sort your grid on Priority date in descending order. If you click on the Priority date column again, this will reverse the order of the sort.

Jobs without Priority or Priority Date will always be displayed after jobs that have this.

 

What are the counts of jobs on my application bar?

The counts of jobs on your application bar are the Notification/Priority date filters. These let you filter jobs according to whether they are before their Priority’s Warning time, after their Warning time (but not yet overdue), or Overdue.

These buttons will filter the grid according to the Warning and Deadline times on the jobs in the grid. Click on the count to filter the grid to show just those jobs. You can either click on another filter to change this, or click on the same filter to clear this.

If a job has not been assigned a Priority it will not appear when any of these filters is set.

This is one of a number of ways you can filter your grid.

 

How do we customise our Priority levels?

Your team can customise your priority levels to match the urgency periods in your working processes. You must have at least one Priority, and may have as many as you need.

Team Admins can add, and edit priority levels from within Lexacom Portal.
