Why can’t I see a job in my grid?

If you can’t see a job in your grid, there may be a few reasons.

1. Another user may have progressed the job

Jobs on a workflow step are visible to all the members of the pool(s) that have been assigned to that workflow step. You may have colleagues in the same pool as you that can see the same jobs in their system.

Another user may have loaded and progressed the job to its next workflow step.

If the job has been progressed to a later workflow step, you should be able to see the job in your Search grid.

 

2. Another user may have sent the job to an earlier workflow step

On some workflows, users have the ability to send jobs to an earlier workflow step – e.g. the Dictate & Transcribe workflow has an optional Author Review step.

Another user may have loaded and sent the job back to an earlier step.

If the job has been changed to an earlier workflow step, you will not be able to see the job in your Search grid.

 

3. The Author may have recalled the job

Authors have the ability to change the workflow step on jobs from their Tracking, which allows them to recall a job that needs amendment.

If the job has been changed to an earlier workflow step, you will not be able to see the job in your Search grid.

 

4. Your grid may be filtered

There are a number of different ways that you can filter your grid – these allow you to filter your work to just show the jobs that you are interested in, but might be filtering out work that you wish to see.

Workflow filter

The Workflow filter allows you to filter your grid to show only jobs on a particular workflow.

Check to see if your workflow filter is set to one particular workflow, and if so, try changing this to All Workflows.

Quick Search filter

The Quick Search filter allows you to filter your grid to show only jobs that match a search term.

Check to see if you have a search in your filter, and if so, clear this and press Enter.

Priority Filters

The Priority Date Filters allow you to filter jobs by whether they are before their Priority’s Warning period, after their Warning period (but not yet overdue), or Overdue.

Check to see if any of your Priority Date Filters on your application bar have a blue check to show this filter is enabled, and if so, click on this to clear the filter.

5. There may be no valid columns in your grid

In general, each of your team’s workflows will share media, like Reference, Letter Type, or Priority. In rare cases, your team might have a workflow that has very different media from your other jobs.

You can change your visible columns in your grid, and choose to view columns relevant to the way you want to work.

If there are no columns in your grid that match the media on a job, that job will not appear – e.g. if you only have Letter Type column showing, and a job’s workflow does not need the author to select a Letter Type, the job has no Letter Type and so cannot be displayed.

In this case, check in your Column Chooser that you have at least one column visible for a media that is used by each of your workflows.
