How do I assign a pool to workflow steps?

Pools are groups of users who do similar work on a workflow.

In order for users in a pool to be able to create or work on the right jobs, their pool needs to be assigned to the right workflow steps.

!  Changing which pools are assigned to workflow steps will change which work is visible to users. If you are uncertain of which pools should be assigned to which workflow steps, speak to Support who can assist.

Workflow and Team admins can change which pools are assigned to workflow steps.

 

To assign a pool to a step:

  • Log into Lexacom Portal as a Workflow or Team admin
  • If you are an Administrator of more than one team, select the team from the Teams page
  • Click on the Workflows sidebar item – this will display your list of active workflows

  • Click the against a workflow to navigate to its steps
  • This will show you the list of that workflow’s steps

  • Find the step(s) that the pool needs to be assigned to
  • Click the against the step to show the pools that are assigned to it
  • Click + to add a pool
  • Select the pool from your list of available pools

  • Click the tick to save

  • Click Submit to complete

To remove a pool from a step:

  • Follow the instructions above to navigate to a workflow and its steps
  • Find the step(s) from which the pool needs to be removed
  • Click the Delete button against the pool
