What problems was the customer having?
The customer is a busy chartered accountants practice in the centre of Manchester and was using a tape-based dictation system to process information that was passed between its accountants and secretaries. Practice manager Michelle Cowgill said: “The analogue system was very archaic and presented us with all sorts of problems. The machines were breaking down regularly, tapes were often lost and the sound quality of recordings was usually poor. We therefore needed to look for an alternative dictation solution.”
How did the customer hear about Lexacom?
Hall Liddy works for a number of clients that are involved in the medical profession and Lexacom’s digital dictation software was recommended by a local GP practice that was already using Lexacom to successfully process its own doctor’s dictations.
Did the customer take advantage of a free trial?
Yes, Hall Liddy enjoyed a free 30-day trial before taking up the option to make a full-time switch to Lexacom. Michelle Cowgill said: “The trial was very worthwhile. Some of the members of staff are very particular about the way they do things and don’t necessarily like change so having a free trial was a great way of showing them how easy a digital dictation platform would be to use and how it could change things for the better at the practice.”
What was the solution that was delivered by Lexacom?
Thanks to the success of the free trial, Hall Liddy set up 10 talk stations for its accountants and three type stations for its secretaries who process various documents that include client letters, letters to HMRC and client accounts.
Have there been any quantifiable time/cost savings calculated?
Hall Liddy noticed an immediate turnaround in efficiency. Michelle Cowgill explained: “Before Lexacom, tapes used to sit in a basket downstairs for at least half an hour before they were picked up and acted upon. But with Lexacom there has definitely been an overall improvement in the speed with which things are processed. Because the secretaries have full visibility of the jobs on their screen, they can pick dictations up straight away and get them through the system without delay.”
What was the customer reaction after the installation?
“I would definitely recommend Lexacom – it’s made a huge difference,” said Michelle Cowgill. “It’s great to know that when everyone arrives at work in a morning we don’t have to battle against the problems and suffer the headache that came with the analogue tapes. Getting Lexacom has been a very positive step for us and the increase in general efficiency continues to leave everyone feeling happy.”
